Production is complete. The goods are packed. The supplier says the order is ready.
Before shipment, there is one final question: does the finished order match what was approved?
A pre-shipment inspection should begin with the project’s own references: the approved sample, final specification, artwork, packaging files, labeling requirements, purchase order and approved changes.
The purpose is not to inspect every unit or guarantee defect-free goods. It is to verify whether the finished shipment is consistent with the agreed product and commercial requirements before the goods leave the supplier.
1. Start with the approved production reference
Inspection should compare finished goods against the approved sample, final specification, final artwork, packaging specification, PO or quantity breakdown and approved changes—not early samples or outdated artwork.

2. Confirm the order is actually ready for inspection
Before inspection, confirm whether production and packaging are complete, labels are applied, cartons are packed, required SKUs are available and final quantity is known. A partial order may require a different inspection plan; this guide does not invent universal completion thresholds.
3. Verify total quantity and SKU breakdown
Check total order quantity, quantity by SKU, design, color, size, gift-set variant and carton. Quantity errors can be commercial issues even when product quality is acceptable.
4. Check overall workmanship and visual consistency
Look for scratches, obvious marks, uneven finish, missing parts, poor assembly, damaged edges, inconsistent printing, visible glue, distorted shape and paint defects. Use project-specific acceptance criteria rather than universal defect thresholds.
5. Confirm dimensions and product construction
Check width, height, thickness, depth, overall proportion, layers, component position and construction against the agreed specification. Where dimensional tolerance matters, use the project’s criteria rather than inventing tolerance values.
6. Review artwork, logos and printed details
Confirm the correct artwork version, orientation, placement, logo, spelling, typography, small text and print completeness. Compare finished goods with the final approved artwork.
7. Check colors and surface finish
Review the approved color reference, plating, gloss or matte treatment, paint, enamel, print, coating and engraving. Color can appear different under different lighting, so use the agreed reference where possible and do not promise exact cross-material matching.
8. Inspect hardware, attachments and components
Check key rings, chains, clasps, pin backs, magnets, hooks, ribbons, cords, hinges and zippers for the correct component, placement, orientation, attachment and visible damage.
9. Test basic intended function where relevant
Where relevant, check that a bottle opener operates, a standee stands, a closure closes, a moving part moves, a key ring opens, a magnet is correctly positioned or a gift box closes properly. This is not formal performance testing; required technical testing should be handled separately.
10. Confirm assembly and completeness
For multi-part items, check that all parts and accessories are present, variants match, orientation is correct and assembly is secure. This is especially important for figures, gift sets, multi-charm keychains and boxed products.
11. Check packaging format and product fit

12. Verify labels, barcodes and printed information
Check the approved barcode, SKU, product name, collection name, customer label, warnings where required, country-of-origin marking where applicable, website, logo and packaging text. Destination-market requirements should be confirmed separately; this is not legal labeling advice.
13. Review gift sets and multi-component products carefully
Check all components, variants, quantities, insert fit, orientation, gift box, labels, assembly and set completeness. Multi-component products create more failure points than a single SKU, so review the set as the customer will receive it.
14. Inspect shipping cartons and carton markings
Review carton condition, size where specified, sealing, inner protection, carton marks, SKU identification and destination markings where required. Do not treat this guide as shipping-compliance advice.
15. Check pack-out quantities and carton consistency
Confirm units per inner, units per carton, carton count, SKU segregation, mixed-carton rules if used and packing consistency. 16. Record defects and deviations clearly
Record SKU, issue type, photo, location, quantity affected, severity under project rules, specification reference, supplier response and proposed correction. Avoid generic statements such as “quality not good.”
17. Decide what requires correction before shipment
Possible outcomes include accept, rework, sort, replace, re-inspect, hold shipment or discuss deviation acceptance. 18. Create a clear inspection result and release decision
Record inspection date, project, supplier, SKU, quantity inspected, reference documents, issues, corrective action, re-inspection if required, final disposition and shipment release status.
