A sample can look good and still be wrong.
It may have the wrong size, a different material, incorrect color, missing packaging, the wrong attachment, artwork placed slightly differently, an unapproved finish or incomplete labeling.
This is why sample approval should not be “Looks fine — please produce.” A stronger approval process compares the sample against the RFQ, quotation, approved artwork, agreed specification, packaging requirements and product-specific requirements.
The sample is the point where the buyer confirms: “This is what production should follow.” That makes sample approval one of the most important control points in custom product development.
1. Confirm what type of sample you are reviewing
Not all samples represent the same stage. A supplier may describe a concept sample, prototype, pre-production sample, tooling sample, color sample, packaging sample or production-intent sample, and terminology varies by product and supplier.
Ask what exactly this sample is intended to approve. Do not assume every sample is production-ready or that a packaging sample also confirms the product itself.
2. Review the sample against the latest approved specification
Do not evaluate from memory. Use the latest quotation, final artwork, agreed dimensions, material specification, finish, attachment, packaging requirements and approved change notes.
If multiple versions exist, identify which one is current before reviewing the sample. The RFQ information checklist can help establish the inputs that should already be documented.
3. Check overall dimensions and proportions
Review width, height, thickness, depth, component size, attachment position and overall proportions. Compare the physical sample with the agreed specification rather than judging scale from a photograph.
Where exact tolerances matter, they should be agreed specifically for the product. There is no universal tolerance that can be applied safely to every custom format.
4. Confirm materials and construction
Check the stated material, material feel, number of layers, structural parts, backing, insert, fabric, hardware and assembly method. If material cannot be confirmed visually, request supporting documentation where relevant.

5. Review artwork placement and orientation
Check artwork position, centering, orientation, front and back, bleed, crop, shape alignment, logo position and attachment interaction. A small artwork shift may become more noticeable in production or when several products are displayed together.
Use the final approved artwork file as the reference. Do not assume that a supplier’s latest artwork export matches the buyer’s latest file.
6. Check colors against the agreed reference
Avoid relying only on phone photos, screen display or memory. Compare the sample with the agreed color reference where one exists, such as an approved physical sample, color code, approved print or material swatch.
Color appearance can vary by material, finish, lighting and printing method. Record the reference used and avoid promising exact color matching without a project-specific basis.
7. Inspect surface finish and visual consistency
Review gloss or matte treatment, plating, polish, texture, enamel, print, engraving, painted surfaces and coating. Look for scratches, uneven finish, obvious marks, incomplete coverage and inconsistent edges.
Do not define pass or fail tolerances unless they were agreed for the project. Record what is visibly different from the approved reference and what still needs clarification.
8. Review logos, text and small graphic details carefully
Check spelling, font, capitalization, punctuation, logo proportions, line thickness, small-text readability and icon shape. Small errors can be easy to miss in a product photograph or enlarged screen preview.
Use the final approved artwork as reference and confirm that the supplier has used the correct version.
9. Check hardware, attachments and moving parts
Possible examples include key rings, chains, clasps, pin backs, magnets, hooks, ribbons, cords, hinges and bottle-opener components. Review placement, fit, movement, orientation and basic intended function.

10. Confirm assembly and component fit
For multi-part products, check alignment, gaps, fit, insert placement, component orientation, attachment security and overall assembly appearance. This applies to layered acrylic, gift sets, figures, boxed products and multi-part keychains.
Review the assembled item as a customer would receive it, not only as separate components on a worktable.
11. Review product-specific functional requirements
Some products have specific intended functions. A bottle opener should physically fit its intended use, a magnet should be positioned correctly, a bookmark should suit its intended form, a standee should stand correctly and a closure should operate as intended.
Technical performance requirements should be defined project by project. Do not invent performance standards or treat a visual approval as a full technical test.
12. Check packaging together with the product
Review the product inside the actual packaging where possible. Check fit, movement inside the pack, protection, presentation, orientation, insert size, box closure, hang position, backing-card fit and product visibility.

13. Verify labels, barcodes and required printed information
Check the barcode, SKU, product name, country-of-origin marking where applicable, customer label, warning or compliance text where required, packaging copy, logo, website and internal reference.

14. Compare the sample with approved renderings or references
Use side-by-side comparison with the approved artwork, CAD, rendering, reference sample, supplier drawing and packaging mockup. The purpose is to identify unapproved changes, not to demand perfect similarity to a rendering where the production process creates natural differences.
Keep the comparison focused on what was agreed, what has changed and what still requires a decision.
15. Record every requested correction clearly
Avoid feedback such as “Please make it better.” Use specific notes such as “move logo 2 mm left,” “use approved artwork version B,” “change finish to matte,” “remove incorrect text” or “replace attachment with approved style.”
Where exact dimensions are known, use them. Annotated photos and a numbered change list can make the next review easier to follow.
16. Distinguish critical changes from minor preferences
A simple project-specific distinction can separate MUST CORRECT items—such as wrong artwork, wrong dimensions, wrong component, missing packaging or incorrect approved text—from PREFERENCE / OPTIONAL items such as a subtle visual adjustment.
Clear priority helps prevent ambiguity. These categories are a communication tool, not universal quality classifications or legal acceptance rules.
17. Re-sampling may be necessary after meaningful changes
A revised physical sample may be appropriate when changes affect structure, dimensions, tooling, artwork placement, material, finish, packaging fit or functionality. Minor corrections may sometimes be documented without a new physical sample, depending on the project and buyer’s approval process.

18. Create a formal sample approval record
Record the project name, product, supplier, sample date, artwork version, specification version, approved dimensions, material, finish, packaging, approved changes, remaining open points, approval date and approver.
This creates a clear reference for production discussions. Before moving from approved sample to production, also evaluate the supplier beyond unit price and complete a final pre-production check before releasing the order so the production partner, approved reference and commercial release are considered together. This is a project control record, not a legal guarantee that every production unit will be identical.
19. Example: approving a custom metal keychain sample

For a custom landmark keychain, the buyer checks that dimensions match the approved specification, the landmark silhouette is correct, the metal finish is the approved route, the color is close enough to the agreed reference for the current approval, the ring and chain are correct, the logo position and spelling are correct and the backing card fits the product.
If the logo needs to move slightly, the buyer records the correction and decides whether revised evidence or a new sample is required before production.
